1. Introduction

Welcome to OpticAg ("we," "our," or "us"). We are committed to protecting your privacy and ensuring that your information is handled securely. This Privacy Policy describes how we collect, use, and protect your personal and farm-related data when you use our website (https://opticag.com) and services (collectively, the “Site”).

By accessing or using our Site, you agree to the terms of this Privacy Policy. If you do not agree, please do not use the Site.

2. Information We Collect

We collect information in the following categories:

2.1 Personal Information

  • Name
  • Email address
  • Phone number
  • Mailing address
  • Region/location
  • Company name (if applicable)
  • Participation in OpticAg programs or advisory initiatives

Note: We do not collect payment information through the OpticAg website.

2.2 Farm & Operational Data

When you use the OpticAg platform in conjunction with our services and hardware partners, we may collect:

  • Sensor and device data (e.g., grain levels, fuel levels, bin conditions)
  • Agronomic and environmental data (e.g., soil moisture, temperature, weather forecasts)
  • Farm input and yield data (e.g., planting, spraying, harvesting activities)
  • Data from integrated third-party sources (e.g., TELUS, DTN, NSS)

2.3 Technical & Usage Data

  • IP address
  • Browser type and version
  • Operating system
  • Pages visited
  • Time spent on the Site
  • Referring URLs
  • Cookie data

Note: We do not use third-party advertising or tracking cookies.

3. How We Use Your Information

We use the information collected to:

  • Provide, operate, and maintain our Site and platform services
  • Personalize your user experience
  • Enable integration with sensors, devices, and third-party platforms
  • Respond to your inquiries and requests
  • Analyze usage patterns and improve our platform
  • Communicate updates, technical notices, and advisory council information
  • Comply with legal and regulatory obligations
  • Monitor and secure the platform from unauthorized use

4. Sharing of Your Information

We do not sell or rent your personal information. We may share information with:

  • Service providers: Hosting providers, analytics tools, and platform integrators under contractual obligations
  • Partners: When you engage with integrated third-party platforms, data may be exchanged for functional purposes, subject to their own privacy policies
  • Legal and regulatory authorities: When required to comply with applicable law or enforce our rights
  • Business transitions: If OpticAg is involved in a merger or acquisition

5. Cookies & Tracking

We use cookies and similar technologies to:

  • Enhance functionality (e.g., remembering preferences)
  • Analyze traffic and behavior on the Site

You may control cookie settings in your browser. Disabling them may limit functionality.

6. Data Security

We implement technical, administrative, and physical safeguards to protect your information. However, no online system is 100% secure. We strive to protect your data but cannot guarantee absolute security.

7. Your Rights

You may:

  • Access: Request a copy of the data we hold
  • Correct: Request correction of inaccuracies
  • Delete: Request deletion under certain conditions. If you hold an OpticAg account, see Section 8 for the two deletion options available to you and exactly what each one does.
  • Opt-out: Unsubscribe from communications or advisory programs

8. Account Deletion

If you hold an OpticAg account, you can delete it yourself from the Account menu in the OpticAg web platform or in the OpticAg Monitor mobile app (Account → Auth Settings → Delete Account). You may also email privacy@opticag.com and we will carry out the request on your behalf.

We offer two kinds of deletion. Both are described below so you can choose the one you want.

8.1 Before either type of deletion

  • If you own a farm that has other members, you must transfer ownership of that farm to another member first. We will not delete a farm out from under the people still using it.
  • Any farm where you are the onlymember is deleted together with its data — fields, assets, devices, readings, documents, and uploaded images.
  • Active subscriptions are cancelled immediately. No refund or proration is issued for the remainder of a billing period.
  • Push-notification tokens for all of your devices are removed, so alerts stop arriving.

8.2 Standard deletion (recoverable)

This is the default. Your account is permanently disabled: you can no longer sign in and existing sessions stop working.

  • Your sign-in credentials and account record are retained, so that if you deleted the account by mistake we can restore it for you on request.
  • Your email address stays reserved and cannot be used to register a new account until the account is permanently erased.
  • Your remaining personal records and any farm data not covered by Section 8.1 are retained, not anonymized.

If you want your data actually erased rather than locked, choose the permanent option below.

8.3 Permanent erasure (irreversible)

Selecting the permanent-erasure option when you delete your account does everything above, and additionally erases your personal data. We cannot undo it and we cannot recover the account afterwards.

  • Deleted: your FarmerAl chat history and AI assistant threads, documents you created, notification preferences, device tokens, subscription records, invitations you sent, your farm memberships, your account settings and preferences, and your profile images.
  • Anonymized: your authentication record. Your email address is scrambled and released, your password is removed, and any linked sign-in identities are deleted.
  • Retained as a non-identifying reference:your internal account identifier, where it appears on records you authored that belong to a farm — for example a field note you wrote or a device you registered. These remain part of that farm's operational history and are shown as "Former member". They no longer point to anything that identifies you.
  • Once erasure is complete, your email address is free to be used to register a new account.

8.4 What we keep in both cases

For accountability, we record that a deletion took place. That record contains your internal account identifier, a one-way cryptographic hash of your email address — neverthe address itself — and which type of deletion was performed. It lets us demonstrate that your request was honoured without retaining your contact details.

Data belonging to a farm you shared with other people remains with that farm. It is the operating record of that farm and of its remaining members, not personal data held about you.

9. Third-Party Links

Our Site may link to external websites. We are not responsible for their content or privacy practices. Please review their policies before sharing personal data.

10. Children's Privacy

Our Site and services are not intended for children under 13. We do not knowingly collect information from children. If you believe we have collected such data, contact us for removal.

11. Changes to This Policy

We may update this Privacy Policy. The latest version will always be posted on this page. Continued use of the Site constitutes your acceptance of any changes.

12. OpticAg Scribe Mobile App

The OpticAg Scribe iOS app ("Scribe") is a companion to the OpticAg platform that lets authenticated users dictate field notes. This section describes data practices specific to the app.

12.1 What the App Collects on Your Device

  • Audio recordings of notes you dictate, captured via the device microphone after you grant permission. Recordings are stored locally on your device and are not transmitted to OpticAg or any third party. You can delete recordings from the app at any time.
  • Transcriptsof your dictation, generated on-device by Apple's Speech framework (SFSpeechRecognizer).
  • Entity suggestions(matching your dictation to your own farm, field, or asset names) generated on-device by Apple's FoundationModels framework (Apple Intelligence) on supported devices. This feature is skipped on devices that do not support it.

12.2 What Leaves Your Device

  • The text transcript of your note, along with any farm/field/asset associations you confirm, is synced to your private OpticAg account in our backend database. Access is restricted to you via row-level security tied to your authenticated session.
  • No audio is sent off the device.

12.3 Third-Party AI Services

The Scribe app does not send your voice recordings, transcripts, or any other personal data to any third-party AI service. It does not integrate with OpenAI, Anthropic, Google AI, or any other external AI provider. All speech recognition and AI inference performed by the app run on-device using Apple frameworks.

12.4 Permissions

The app requests Microphone and Speech Recognition permissions via standard iOS prompts before recording or transcribing. The features that depend on these permissions will not function unless you grant them.

12.5 Sub-processors

Note text and associated metadata you create are stored in our backend, which is operated using the following sub-processors under data processing agreements that require protections equivalent to those described in this policy:

  • Supabase— database, authentication, and storage for your OpticAg account and note data.
  • Vercel— hosting and delivery of the OpticAg web platform and marketing website.

12.6 No In-App Purchases

The Scribe app contains no in-app purchases, subscriptions, or paid feature unlocks. Access requires an existing OpticAg account, which is provisioned through your farm operation's OpticAg agreement.
